Sending an Integra Profile by e-Mail.


A number of situations may arise which require you to send an Integra profile from one Integra database to another. while of course, copying and pasting a profile from one database to another will work, you may not have access to the other database to do this.

Situations in which sending a profile is useful include:
  • if you are creating an Integra profile for a client who has not provided you with ACL access to his Integra database
  • If you are sending a profile to Shireburn Software's support team to assist you in troubleshooting a problem with a profile.

To support such situations, Integra for Notes provides a facility (using Integra itself of course) through which an existing profile or even multiple profiles can be encapsulated into a special attachment and e-mailed out to your contact. This e-mailing process survives transmission across the Internet and when received into Notes Mail allows unwrapping into the recipient's version of Integra for Notes.

This document explains the procedure through which a profile can be e-mailed out as well as imported into the recipient's Integra database.

Exporting an Integra profile

To export an Integra profile, undertake the following steps:

· open the Integra database
· select the profile(s) to be exported
· from the action bar click on Tools\Export & Send Integra profile



The user will then be presented with an option to send or save the Integra profile. In this case we want to send the profile so you will need to select 'Send via email' and click on the check mark.

Finally, the user will be prompted with the Mail Send dialog box as shown below. Enter the e-mail address of the intended receipient or recipients in the relevant fields, add text to the mail (optional) and click on the check mark. Integra will then automatically send the profile.



If multiple profiles are to be sent, select multiple profiles in the view and undertake the same procedure.

Importing an Integra profile

When a user receives an Integra profile or profiles in his Notes Mail sent in accordance with the procedure outlined above for exporting an Integra profile, the reverse capability exists to allow the importing of this profile or profiles into the recipient's Integra database.

Following the profile having been exported by the sender, the recipient of the profile will receive an e-mail containing the profile or profiles. This e-mail will contain explanations related to the functionality of the profile (see screen shot below).


To import a profile, the user will need to click the Integra Smarticon and select the Integra Profile Import profile from the presented profile list. This will then result in the importation of the wrapped profile(s) received in the e-mail into the currently active Integra database.


Importation of profiles can only be undertaken using Notes Mail.

iNotes, IMAP, Outlook Mail, Pop3 etc are not supported mail clients for Integra profile importation.


The Integra exporting and importing function uses standard Integra profilers found under the Text profiles button in the product's main navigator screen. By default, these profiles are linked to the standard R5 Mail template. If your organisation is using a non-standard mail template, please relink both the Integra Profile Import and the Integra Profile Export profiles to your organisation's mail template name in the Notes tab of the profiles,. Please note that multiple template file namescan be used in this field, each separated by a semi-colon.
